We are seeking a highly organised, proactive and detail-oriented Personal Assistant to support a senior Newbuilding Ship Broker.
The successful candidate will provide administrative and project coordination support across multiple ongoing newbuilding projects, ensuring effective communication, timely follow-up and smooth execution of day-to-day activities.
Working Hours: Monday to Friday, 9:00 AM – 6:00 PM
Work Location: Vision Exchange, Jurong East.
Key Responsibilities
• Manage emails, schedules, appointments and follow-up actions.
• Coordinate with shipyards, shipowners, suppliers, equipment makers and internal teams.
• Monitor ongoing newbuilding projects, deadlines and outstanding actions.
• Prepare reports, summaries, comparison tables, presentations and other business documents.
• Coordinate meetings, conference calls and business travel arrangements.
• Maintain accurate project records, documents and contact information.
• Follow up proactively on outstanding matters and highlight important deadlines.
• Assist in preparing information and materials for meetings and project discussions.
• Provide administrative and coordination support to the senior Newbuilding Ship Broker.
• Perform other related duties as assigned.
Requirements
• Diploma or degree in Business Administration, Maritime Studies, Shipping or a related discipline is preferred.
• Previous experience as a Personal Assistant, Executive Assistant, Project Coordinator or in a similar role is an advantage.
• Experience in the shipping, maritime, shipbuilding or related industry will be an advantage.
• Strong organisational and time-management skills.
• Good attention to detail and follow-up skills.
• Good written and verbal communication skills.
• Proficient in Microsoft Office, particularly Word and Excel.
• Able to manage multiple priorities and meet deadlines.
• Able to work independently and communicate effectively with internal and external stakeholders.
