Accounts Executive Finance Department Full-Time
About the Role
We are looking for a meticulous and reliable Accounts Executive to join our Finance Department. This role is responsible for day-to-day accounting operations across multiple entities within the group from cash flow management and supplier payments to stock reporting, bank reconciliation, and intercompany consolidation. It is a hands-on position suited to someone who is comfortable working across several companies, enjoys detail-heavy work, and can manage recurring deadlines with accuracy.
Key Responsibilities:
A. Holding Company Supplier Payments & Invoice Processing
• Prepare and process supplier payments according to company procedures.
• Check, verify and enter supplier invoices into the SQL Accounting system.
• Check and process staff and company claims, including credit card transactions.
• Prepare and process term loan payments.
• Process LHDN CP204 and MBI Cukai Taksiran payments when required.
• Ensure all payment and invoice documents are properly supported, recorded and filed.
Billing & E-Invoice
• Prepare invoices for intercompany and non-trade transactions.
• Prepare Sales Debit Notes and Credit Notes when required.
• Process customer refunds and contra entries when applicable.
• Check the appropriate SST code for customer transactions in SQL Accounting and coordinate with the relevant person for processing.
• Prepare BA documents and other supporting documents when required.
• Submit e-Invoices, Debit Notes and Credit Notes to LHDN.
• Maintain proper records and filing of submitted e-Invoices and related documents.
Stock & Inventory
• Coordinate stock-taking activities with different departments.
• Check stock-taking results and assist with stock reconciliation.
• Monitor slow-moving and non-moving stock and work with the Sales & Marketing team on stock clearance.
• Assist in checking inventory valuation, WIP and costing.
• Prepare monthly stock reports, including SST-exempted items and RM closing stock.
Reports & Management Information
• Prepare monthly sales and purchase reports for MMM.
• Prepare ERP and productivity reports for the statistics department.
Petty Cash
• Maintain petty cash records and supporting documents.
• Check and reconcile petty cash transactions.
Audit, Budget & Compliance
• Work with external auditors and provide the required documents and information.
• Assist in preparing the annual budget together with the relevant departments.
• Prepare annual medical insurance claims (yearly).
• Participate in 5S activities as section leader, as required.

B. Subsidiary Company
• Prepare and update cash flow budgets, monitor cash flow and maintain accurate records of all bank transactions.
• Process and reconcile bank accounts, supplier payments and invoices.
• Key supplier invoices and approved claims into the SQL Accounting System and ensure all supporting documents are properly maintained.
• Prepare and monitor debtor and creditor aging reports, follow up on outstanding balances and highlight overdue accounts to Management.
• Reconcile intercompany outstanding balances and transactions between related companies.
• Prepare and update the Monthly Management Meeting (MMM) Report, including Profit & Loss, Balance Sheet and intercompany transactions.
• Maintain and update the fixed asset listing and ensure all asset movements are properly recorded.
• Liaise with external auditors for the annual audit and provide the necessary schedules, supporting documents and information required
What We're Looking For:
• Diploma or Bachelor's degree in Accounting, Finance, or a related field; LCCI / ACCA / part-qualified candidates are welcome to apply.
• At least 2–3 years of relevant accounts/finance experience, ideally across multiple entities or a group structure.
• Working knowledge of SQL accounting system and ERP reporting.
• Familiarity with Malaysian statutory and tax requirements (LHDN CP204, SST) is an advantage.
• Strong attention to detail and ability to manage recurring deadlines (daily, weekly, monthly, and yearly reporting cycles).
• Good organizational and coordination skills, comfortable liaising with suppliers, auditors, and internal departments.
• Proficiency in Microsoft Excel and Microsoft Office.
