Key Responsibilities 1. ISO Quality Management System (Management Representative) Serve as the designated Management Representative (MR) for ISO Quality Management Systems (e.g., ISO 9001 / ISO 14001 / ISO 45001). Plan, organize, and execute internal audits, managing the full audit cycle from preparation to reporting and corrective action tracking. Lead Management Review Meetings (MRM), preparing agenda items, minutes, and performance metrics. Establish, review, and update Standard Operating Procedures (SOPs), quality manuals, and administrative policies across departments. Coordinate external surveillance, recertification, and third-party audit processes with external certification bodies. Monitor Corrective and Preventive Actions (CAPA) to resolve non-conformances and drive continuous process improvements. 2. Government Licensing & Regulatory Compliance Liaise with government agencies, regulatory bodies, and local authorities (e.g., MIDA, MITI, DOSH/JKKP, DOE/JAS, DBKL/Local Councils, Fire Department/Bomba, Immigration) to obtain, maintain, and renew all essential corporate operational licenses and permits. Ensure full compliance with statutory requirements, fire safety, environmental standards, and workplace health and safety rules. Manage statutory renewals, ensuring zero operational downtime due to expired licenses or permits. 3. Customs & Licensed Manufacturing Warehouse (LMW) Compliance Oversee and monitor compliance with Royal Malaysian Customs Department (Kastam) rules and regulations. Manage and maintain Licensed Manufacturing Warehouse (LMW) licenses, ensuring proper duty-exempt raw material and machinery tracking. Prepare, review, and submit mandatory Customs documentation (e.g., LMW Form MIDA/Customs returns, duty exemption applications, CJ5, M3, and periodic submission reports). Oversee scrap/waste disposal procedures and apply for necessary customs permits/exemptions. Coordinate with customs authorities and internal logistics/warehousing teams during customs checks, physical audits, and stock counts. 4. General Office Administration Oversee general office administrative functions, including facility maintenance, office supplies management, vendor management, and office security. Organize corporate meetings, prepare administrative reports, and archive essential regulatory and ISO documentation. Support general HR and administrative special projects as assigned by management.
