Projects and Business Excellence Support

Projects & Business Excellence Support assists in delivering structured improvement activities, governance support, and operational efficiency across key business support functions including administration, billing, data management, and documentation control. A key focus of the role is to support data analysis and reporting management by collecting, analysing, and presenting operational data to help the Operations Manager and site teams make informed decisions. The role also supports project coordination across cross-functional teams, facilitates continuous improvement initiatives, and tracks execution across pre- and post-implementation phases. The position works closely with Operations, Finance, QHSSE, and site teams to maintain standards, improve data accuracy, and support effective operational performance. In addition, the role provides day-to-day guidance to team members, supports onboarding and training activities, and provides input for performance discussions where required. Key Responsibilities: Data Analysis & Reporting Management • Support and maintain structured data collection by consolidating operational data from multiple sources including warehouse management systems, finance records, QHSSE logs, project trackers, and team inputs. • Prepare and analyse operational data covering volume trends, cost variances, productivity metrics, compliance rates, and project performance to support operational insights and decision-making. • Assist in developing and maintaining performance dashboards and visual reporting tools such as Power BI and advanced MS Excel to provide visibility of key operational KPIs for the Operations Manager and site leadership. • Produce structured daily, weekly, monthly, and ad-hoc operational reports tailored to the audience — from site-level summaries to management-ready presentations — ensuring accuracy, clarity, and timely delivery. • Support trend analysis and basic forecasting to identify patterns, highlight operational risks, and assist planning for resource allocation, cost management, and project scheduling. • Assist in root-cause analysis on operational variances, KPI deviations, and performance gaps, and prepare findings with practical corrective action suggestions for review by relevant stakeholders. • Develop and maintain benchmarking reports that compare site performance against internal targets, historical data, and cross-site metrics to support continuous improvement decisions. • Ensure data integrity, accuracy, and consistency across all reporting sources by implementing regular data audits, reconciliation checks, and validation routines. • Support the standardisation of reporting templates and data entry processes across teams and functions to improve reporting reliability and reduce manual effort. • Maintain a centralised reporting repository and version-controlled records to ensure all stakeholders have access to the latest, most accurate information at all times. • Translate complex data sets and analytical findings into clear, visually engaging reports and presentations that support non-technical audiences in making data-driven decisions. • Collaborate with Finance, Operations, and Commercial teams to align reporting requirements, validate data sources, and ensure cross-functional data consistency. Project Support & Cross-Functional Coordination • Support and coordinate assigned site-level and customer-related project activities across key phases, including initiation, planning, execution, monitoring, and closure, for activities such as facility readiness, reinstatement, communication board rollouts, branding standardisation, and improvement projects. • Assist in preparing project plans, timelines, risk trackers, and stakeholder action lists to support structured, on-time, and within-scope execution. • Facilitate cross-functional alignment across Operations, QHSSE, Maintenance, People Function, IT, Finance, and vendors by supporting clear roles, responsibilities, and communication flow during project execution. • Track project change requests by documenting scope changes, highlighting potential impact on timelines and resources, and supporting approval follow-up before implementation. • Identify, track, and escalate project risks or issues in a timely manner, and support mitigation planning to minimise impact on project delivery. • Coordinate project review meetings, status update sessions, and post-implementation reviews to track progress, follow up on blockers, and capture lessons learned. • Consolidate and communicate project updates, milestone achievements, risks, and escalations clearly to the Operations Manager and relevant stakeholders through structured reports and presentations. • Coordinate with vendors and third parties on project delivery matters, including scoping, scheduling, mock-up reviews, technical clarifications, and on-site installation follow-up within approved project parameters. • Support pre- and post-go-live activities including user readiness, documentation handover, operational transition, and stabilisation monitoring to ensure smooth project closeout. • Ensure all project deliverables fully comply with company standards, safety requirements, QHSSE protocols, and applicable regulatory or compliance requirements. • Maintain detailed and accurate project records covering decisions, scope changes, approval trails, vendor inputs, and action logs as a reference for audit, review, and future project planning. Continuous Improvement & Standardisation • Support the identification of operational gaps, process inefficiencies, waste, and improvement opportunities across site functions using data, observation, and cross-functional feedback. • Support CI initiatives from problem identification through solution development, pilot testing, implementation tracking, and performance measurement to help ensure sustainable improvement outcomes. • Apply basic CI tools and methodologies such as Lean,…
