Operational Systems Coordinator

1. Process Mapping & Optimisation • Improve project delivery, procurement, subcontractor coordination, and site reporting with clear SOPs, SOCs, and checklists. • Integrate AI tools in drafting, restructuring, and enhancing documents — speeding up turnaround and streamlining project quantification tasks (surveys, material take‑offs, cost estimates, quotation tracking). 2. Data Management & Analytics • Design and maintain dashboards in Excel/Power BI, collect and analyze operational data, and uphold data integrity standards. • Use AI to assist with data cleaning, pattern recognition, and generate plain‑language summaries of complex reports for management insights. 3. Automation & Systems • Identify repetitive tasks and automate them using Python, Excel macros, or Power Automate; collaborate with management and developers to enhance internal systems and recommend tools to close operational gaps. • Leverage AI coding assistants to write, debug, and optimize scripts faster, and explore AI‑powered workflow platforms to automate document routing, notifications, and reporting. 4. Documentation & Knowledge Management • Create and maintain checklists, manuals, templates, onboarding materials, and project records; build a structured knowledge repository for easy access. • Use AI to draft, translate, and format documentation — especially bilingual (English/Chinese) materials — ensuring faster turnaround and consistency. 5. Cross-functional Coordination & Reporting • Liaise between operations, HR, finance, and management; prepare structured reports/presentations; align processes with regional teams. • Use AI to generate first‑draft reports and meeting summaries — reducing prep time and improving consistency. Requirements: • Diploma or Degree in any field; technical disciplines (Data, IT, Business, Engineering) preferred • At least 2 years of combined experience in operations, admin, systems, or analytics • Comfortable in Excel (Pivot Tables, VLOOKUP / XLOOKUP) and Microsoft Office • Experience writing SOPs, checklists, or operational manuals • Actively uses AI tools (ChatGPT, Copilot, Gemini, or similar) in daily work • Clear communicator across office and field teams
