Senior/HR Executive, People Experience (1 Year Contract)
Salary: $4,500 per month
Contract: 1-year contract
Working Location: PLQ, with occasional deployment to other locations tosupport onboarding activities.
Working Hours: 8.15am–5.45pm, Monday to Friday.
Selected days may require an earlier start, around7.30am–8.00am, to support onboarding activities. Working hours will be adjusted accordingly.
Job Description
We are seeking a Senior/HR Executive, People Experience to oversee and support end-to-end HR operations throughout the employee lifecycle. The role will be responsible for onboarding, work pass administration, HR system transactions, employee records and day-to-day HR operational matters, while working closely with various stakeholders to ensure HR processes are delivered accurately, efficiently and in compliance with relevant requirements.
Key Responsibilities
• Oversee and coordinate pre-onboarding and Day 1 onboarding activities, ensuring all necessary arrangements and documentation are completed accurately and within the required timelines.
• Act as a key point of contact for onboarding matters and facilitate onboarding briefings for new employees, including guidance on HR processes, policies and available support channels.
• Manage Work Permit and Employment Pass-related matters, including applications, renewals, transfers and cancellations, ensuring timely processing and compliance with relevant regulatory requirements.
• Maintain and manage employee personnel records, HR documentation and employee data with a high level of accuracy and confidentiality.
• Handle employee lifecycle activities such as transfers, contract extensions, changes in employment details and offboarding.
• Liaise with employees, internal departments and external stakeholders to coordinate HR matters and follow up on employee-related issues.
• Monitor outstanding HR cases and ensure appropriate follow-up is carried out within the required timelines and service standards.
• Ensure HR transactions and records are maintained accurately and in accordance with company policies, procedures and statutory requirements.
• Take ownership of assigned HR operational activities and work independently to ensure smooth execution of daily HR processes.
• Identify opportunities to improve HR processes and support the implementation of system enhancements and HR-related projects.
• Prepare HR reports, correspondence and other administrative documents when required.
• Support continuous improvement initiatives to enhance HR service delivery and operational efficiency.
• Perform other HR operational duties and ad hoc assignments as required.
Requirements
• Degree in Human Resource Management, Business Administration or a related discipline.
• At least 2 years of relevant experience in HR Operations, HR Administration or Shared Services is preferred.
• Experience in managing employee onboarding, employee lifecycle activities and HR system transactions.
• Hands-on experience in Work Permit / Employment Pass administration and related compliance matters will be an advantage.
• Familiarity with HRIS systems and Microsoft Office applications.
• Strong attention to detail with the ability to handle confidential employee information professionally.
• Good interpersonal and communication skills, with the ability to work effectively with employees and different stakeholders.
• Able to manage multiple priorities, work independently and meet deadlines in a fast-paced environment.
• Proactive and service-oriented, with a strong sense of ownership and responsibility.
• Good problem-solving skills and ability to follow through on assigned HR matters until completion.
• Comfortable supporting onboarding activities at different work locations when required.
