We are looking for a highly organised, proactive and people-oriented professional to join our team and play a key role in membership services, corporate administration and meeting secretariat support.
This is a varied and hands-on role with opportunities to work with Management, members and different departments. You will also be supported by a small team and encouraged to use AI and digital tools to improve productivity, processes and service delivery.
What You’ll Do
• Oversee membership administration, including applications, renewals, transfers and terminations, ensuring compliance with Club policies and the Constitution.
• Engage with members and handle enquiries, feedback, complaints and sensitive matters professionally and discreetly.
• Coordinate Management/Committee meetings, AGM/EGM and governance matters, including meeting papers, professional minute-taking, records and follow-up actions.
• Maintain accurate membership records, databases, filing and documentation.
• Support membership programs, member engagement, Club events and special projects.
• Coordinate with internal and external stakeholders to ensure smooth operations and timely follow-up.
• Lead and support a small team, promoting teamwork, service excellence and continuous improvement.
• Embrace AI and digital solutions to streamline administrative work and enhance efficiency.
• Undertake other projects and duties assigned by Management.
What We’re Looking For
• Minimum GCE ‘A’ Level, Diploma or equivalent, with at least 3 years’ relevant experience in membership, administration, executive support, hospitality or a similar role.
• Strong experience in meeting coordination, professional minute-taking, documentation and follow-up.
• Excellent spoken and written English, with strong organizational and communication skills.
• Proficient in Microsoft Office and comfortable using digital tools and AI applications.
• Meticulous, proactive, resourceful and able to manage multiple priorities independently.
• Professional and discreet when handling confidential and sensitive matters.
• A positive, service-oriented team player who enjoys working with people.
