Service Admin (Maternity Cover) - 4 Months

Job responsibilities • Receive and log service requests from clients, ensuring accurate and complete information. • Prioritize and schedule service appointments based on urgency and technician availability. • Communicate with customers to confirm service appointments and provide relevant details. • Manage the Service hotline during office hours and divert to the standby cellphone for after-office hours. • Maintain accurate and up-to-date records of service requests, appointments, and technician schedules. • Generate and update service reports, including job details, parts used, and labor hours. • Act as a point of contact for customers, providing updates on service progress and addressing inquiries. • Issue quotations to customers using Microsoft Business Central. • Confirm sales orders in Microsoft Business Central upon receiving purchase orders from customers. • Generate and process service invoices for completed jobs. Job Requirements • Diploma or equivalent (Bachelor's degree is a plus). • Field of study in Business Administration, Office Management, or a related field (preferred). • Proven experience in administrative roles, preferably in a service-related industry. • 0-3 years of experience. • Strong organizational skills with the ability to multitask and prioritize effectively. • Excellent communication skills, both verbal and written. • Proficiency in using office software (e.g., Microsoft Office, Microsoft Business Central). • Familiarity with customer relationship management (CRM) systems is a plus. • Basic knowledge of commercial kitchen equipment or similar technical fields is not required but a plus.
