Admin Assistant (Offshore)

Key Responsibilities • Handle general office administration, including emails, telephone enquiries, correspondence, filing and data entry. • Prepare and maintain documents, reports, spreadsheets and administrative records. • Support the operations team with vessel-related documentation, crew records and project administration. • Maintain document registers, monitor expiry dates and follow up on renewals with the relevant personnel. • Assist with travel, accommodation, transport and meeting arrangements for staff and crew as required. • Assist with preparing purchase orders, compiling invoices and delivery orders, and submitting supporting documents for payment processing. • Liaise with suppliers, service providers and internal teams on administrative matters, orders and deliveries. • Maintain office supplies and coordinate office maintenance and service arrangements. • Assist with employee records, leave tracking and onboarding documentation. • Handle confidential information responsibly and keep records accurate, organised and accessible. • Perform other administrative duties assigned by management.
